Bookkeeping Tips • October 21, 2026 • by Zachariah Smiley
Open many small-business QuickBooks files and you'll find three accounts that all mean the same thing: 'Office Supplies,' 'Supplies,' and 'Office Expense.' Reports get harder to read, categorization gets inconsistent, and month-end takes longer than it should.
The cleanup is straightforward. Merge true duplicates — merging preserves the history, it doesn't erase it. Make unused accounts inactive instead of deleting them, since accounts with history shouldn't be deleted. And keep the names simple enough that future-you categorizes the same way every time.
A tidy Chart of Accounts is invisible when it's right and painful when it's wrong. An hour spent here speeds up every reconciliation and every report that follows it.
This is exactly the kind of thing I clean up and keep clean for Wichita small businesses — catch-up projects and monthly bookkeeping, quoted flat after a free look at your books.
