In the Bank Feed, Match First — Don't Just Add

Bookkeeping Tips • November 3, 2026 • by Zachariah Smiley

The bank feed in QuickBooks Online feels like a shortcut — transactions flow in, you click Add, and they disappear from the review list. The trouble is that some of those transactions are already in your books: an invoice payment you recorded, a bill payment you scheduled, or a transfer between your own accounts.

If you Add one of those instead of using Find match, QuickBooks creates a second copy. Income gets counted twice, an expense balloons, and your bank balance in QuickBooks drifts away from the real one. Monthly reconciliation then turns into detective work, hunting for duplicates that never needed to exist.

My habit, and what I teach Wichita clients in cleanups, is simple: take 10 seconds to search for the match first. QuickBooks usually finds it. If there truly is no match, then Add it — with the right vendor, category, and note. Clean feeds mean clean books, and your future reconciliation will thank you.

Want a hand with this?

This is exactly the kind of thing I clean up and keep clean for Wichita small businesses — catch-up projects and monthly bookkeeping, quoted flat after a free look at your books.
