The habit that fixes it takes ten seconds: photograph the receipt the same day and attach it to the transaction in QuickBooks Online. The image lives with the expense forever — no shoebox, no envelope, no archaeology.
If an expense is ever questioned, the receipt attached to the transaction is the whole conversation. Ten seconds now, or hours later trying to reconstruct a year of spending from bank lines. Easy math.
