Reconcile Your Business Credit Card, Too

Bookkeeping Tips • October 30, 2026 • by Zachariah Smiley

Most owners I talk to reconcile their checking account every month — and stop there. The business credit card connected in QuickBooks Online just keeps collecting transactions, sometimes for a year or more, without ever being matched to a statement. It feels current because the feed is live, but "in the feed" is not the same as "verified."

That's where problems hide. Duplicate charges, annual fees, interest, a price increase on a subscription, and the occasional personal purchase all sit quietly in an unreconciled card account. Your expenses end up wrong, your Profit & Loss tells the wrong story, and the card balance on your books may not match what you actually owe.

The fix is simple: treat the card exactly like your bank account. Once a month, pull the statement, reconcile QuickBooks line by line to it, and when you pay the card from checking, record it as a transfer or payment match — not a new expense — so nothing gets counted twice. Ten minutes a month keeps both sides honest.

This is exactly the kind of thing I clean up and keep clean for Wichita small businesses — catch-up projects and monthly bookkeeping, quoted flat after a free look at your books.
