Reconcile Your Payables to Vendor Statements Once a Month

Bookkeeping Tips • November 4, 2026 • by Zachariah Smiley

Most small businesses trust the balance in QuickBooks Online for what they owe — but that balance is only as good as what was entered. A bill typed in twice, a payment recorded but never matched, or a vendor credit sitting unused will all leave your Accounts Payable looking bigger, or smaller, than the truth.

Once a month, pull the Accounts Payable Aging report and compare it, vendor by vendor, to the latest statement from each vendor. Work through any mismatch while it is still fresh: void a true duplicate (do not delete it, so the trail stays clean), match the payment that missed its bill, and apply credits before you pay the next invoice.

It takes about ten minutes for most businesses, and it is a standard part of the cleanups and monthly reconciliations I do for Wichita clients. Catching a payables error now beats disputing a months-old bill in January — and it means the expenses on your Profit & Loss are numbers you can actually trust.

This is exactly the kind of thing I clean up and keep clean for Wichita small businesses — catch-up projects and monthly bookkeeping, quoted flat after a free look at your books.
