Sales Tax You Collected Is Not Your Income

Bookkeeping Tips • October 25, 2026 • by Zachariah Smiley

When a customer pays you sales tax, that money feels like revenue in the bank account. It isn't — you're holding it for the state, and spending it as it comes in turns a good month into a painful filing quarter.

In QuickBooks Online, sales tax collected belongs in a Sales Tax Payable liability account, not in sales. Reconcile that liability monthly against what you actually collected, so the balance is never a surprise.

Then protect it: move the tax portion into a separate account as it arrives. Filing day becomes a transfer instead of a scramble, and your income numbers finally show what the business actually earned.
