Clear Out Undeposited Funds

Bookkeeping Tips • October 26, 2026 • by Zachariah Smiley

Undeposited Funds is QuickBooks' waiting room: customer payments sit there until you record the actual bank deposit. Payments that linger for weeks or months are a sign the deposit step got skipped — and the balance quietly stops matching reality.

The risks are real. Stale payments break your bank reconciliation, and if a deposit also gets entered a second way, income gets double-counted — which means a tax bill on money you only received once.

Work the list: match each payment to its actual deposit, oldest first, and clear the stragglers. When Undeposited Funds returns to zero after every deposit, your income and your bank balance finally tell the same story.
